Using Integrations in Nylon

Overview

Integrations let Nylon work with the tools your firm already uses: SharePoint and OneDrive for documents, Outlook for email, and your Teams calendar for the meeting notetaker. You connect and manage all of them in one place, under Account > Integrations.

Everyone can see the page. What you can do there depends on your role in Nylon.

  • Account Owners, Admins and Viewers set an integration up for the whole organisation, choose which features are on, and can disconnect it for everyone.

  • Team members link their own Microsoft account, see what the firm has turned on, and can disconnect themselves.

Every plan includes the same integrations. Your plan does not change which ones you can use, though the notetaker needs Pro Credits (included on Adviser and Elite).

Two kinds of administrator

Most integration problems come down to one thing. There are two administrator roles, and they usually belong to different people.

  • A Nylon Admin or Owner decides which integrations and features your firm uses inside Nylon.

  • A Microsoft administrator decides which apps can reach your firm's Microsoft data. This role lives in your Microsoft (Entra) tenant. In many firms it belongs to an outside IT provider.

Nylon cannot see anyone's Microsoft role. If Nylon asks for an approval you cannot give, you are almost certainly a Nylon Admin who is not a Microsoft administrator.

How connecting works

Connecting happens in two layers, and you need both.

  1. Your organisation approves Nylon at Microsoft. This happens once, and a Microsoft administrator has to grant it.

  2. Each person links their own Microsoft account. This keeps everyone's access separate. Nylon only sees the files, emails and calendar events that person can already see in Microsoft.

Both can happen in one trip to Microsoft. When an Admin sets an integration up, Microsoft's consent screen shows a tick-box: "Consent on behalf of your organisation". Tick it and you approve Nylon for the whole tenant at the same moment as connecting your own account. Your colleagues can then link their accounts without seeing a consent screen.

Your Microsoft administrator can also approve Nylon outside Nylon, in the Entra portal or by granting a request you sent. That works too. Microsoft never tells Nylon it happened, so the Integrations page will not change until someone tries again.

Setting up an integration for your organisation

This section is for Owners, Admins and Viewers.

The Microsoft account you sign in with has to belong to a Microsoft administrator who can approve apps for the whole organisation. If that is not you, read If IT or an outside provider runs your Microsoft below.

  1. Go to Account > Integrations.

  2. Find the integration and click Set up.

  3. Choose which features to turn on. Each one lists the access it needs, for example Browse & read, Keep up to date and Save back to SharePoint. Nylon only asks Microsoft for the permissions those features need. You can change your choice later.

  4. Click Connect. A Microsoft window opens. Pick the account you want to connect.

  5. Microsoft lists the permissions. Tick "Consent on behalf of your organisation", then click Accept.

  6. That finishes it. Your features are on, your own account is connected, and the card now reads Manage integration.

Why the organisation tick-box matters

This one step carries the whole setup. Skip the tick-box and your own connection still works. Nothing looks wrong. But Nylon is approved for you alone, and every colleague hits an approval wall when they try to link.

Disconnecting and setting up again will not fix this. Disconnecting only clears what Nylon stores. Microsoft still remembers that you approved Nylon yourself, so your next Set up goes straight through and never shows you the consent screen again. Your firm ends up where it started.

If IT or an outside provider runs your Microsoft

Many firms hand Microsoft administration to an IT provider who has no Nylon account. You have two ways to get your organisation's approval in place. Both finish the same way: a Nylon Admin clicks Set up and it goes through.

Option A: send an approval request from the sign-in window

Run Set up when you are not a Microsoft administrator and Microsoft shows an "Approval required" screen.

  1. If your tenant allows approval requests, the screen gives you a justification box and a Request approval button. Fill it in and send.

  2. Microsoft notifies your administrators, who approve it in their Entra portal. Their approval covers everyone in the tenant. Microsoft has no per-person approval.

  3. Microsoft does not tell Nylon, so the Integrations page will not change. Once IT confirms, click Set up again. It now goes through without a consent screen.

Your own Microsoft tenant controls whether the Request approval button appears. If IT has switched it off, the screen tells you to contact your administrator. Use Option B.

Option B: your IT provider approves Nylon in Entra

This is usually easiest for an outside provider, because they never touch Nylon.

  1. A Microsoft administrator opens the Microsoft Entra admin centre, goes to Enterprise applications, and finds the Nylon application.

  2. They open Permissions and choose Grant admin consent for [your organisation]. Approval granted this way always covers the whole organisation. It does the same job as the tick-box.

  3. Nothing changes in Nylon yet. The integration still reads as not set up.

  4. Any Nylon Admin then clicks Set up. It goes through without a consent screen.

Your IT provider will want to know what they are approving. Every feature lists its permissions in plain words on the Integrations page, such as Read your files, Read SharePoint sites and Create and update files. Open Set up or Manage integration and send them the list.

Managing an integration

This section is for Owners, Admins and Viewers.

Click Manage integration on the card. A panel opens below the card row, so you stay on the page. It lists every feature, the access it needs, and a toggle.

  • SharePoint: Browse & read (read your files, read SharePoint sites), Keep up to date (read your files, read SharePoint sites), Save back to SharePoint (create and update files, save to SharePoint sites, read your files, read SharePoint sites).

  • Outlook: Browse & read (read your email), Keep up to date (read your email).

  • Teams: Calendar (read your calendar, read your online meetings), so the notetaker can join your meetings.

Turning features on and off

Feature toggles apply to everyone on the account.

  • Turn a feature on and your whole team gets it. Nobody needs to link their account again. Nylon picks up the new permissions in the background.

  • Turn a feature off and Microsoft asks you to approve again. Microsoft cannot shrink an approval that already exists, so your remaining features go through one more approval. It takes a single step.

Re-consent

Re-consent sits at the bottom of the panel, next to Disconnect. It repairs one problem: someone set the integration up without ticking "Consent on behalf of your organisation", so colleagues cannot link their accounts.

Microsoft skips the consent screen for anyone who has already approved Nylon. That is why the tick-box never comes back on its own. Re-consent forces the screen to open again.

  1. Open Manage integration and click Re-consent. A Microsoft administrator has to finish it.

  2. Tick "Consent on behalf of your organisation" and click Accept.

  3. Your colleagues can now link their accounts. Nothing else changes, including which features are on.

If you cannot use Re-consent, a Microsoft administrator can approve Nylon in the Entra portal instead (Option B above). You can also remove Nylon at myapps.microsoft.com first, which clears your own approval and brings the consent screen back.

Disconnecting for the organisation

Disconnect turns every feature off and clears every team member's access to that integration, including yours. Nobody can use it until someone sets it up again. Owners and Admins have no separate "unlink only me".

Disconnect clears what Nylon stores and nothing else. The approval your organisation gave Microsoft stays in place. A Microsoft administrator has to remove that in Microsoft.

Linking your own account

This section is for all users.

Go to Account > Integrations. Each card shows one action.

  1. Request access: your firm has not turned this integration on. Click it and Nylon emails your firm's Admins and Owners. The button stays live afterwards, so clicking again sends another reminder.

  2. Link Account: your firm has turned it on but you have not connected. Click it and sign into Microsoft. When your organisation's approval is in place this finishes quietly, with no consent screen and nothing to decide.

  3. View integration: you are connected.

View integration opens a read-only panel. It shows each feature, what it can reach, and whether your firm has it on or off. Only an Admin or Owner can change those settings.

The panel has one action: Disconnect. It affects your own connection and nothing else. Your colleagues keep working and the integration stays on for the firm. Your card goes back to Link Account. So if your connection ever misbehaves, Disconnect then Link Account refreshes it.

Asking us to add a new integration

+ Request integration, at the top right of the page, sends a suggestion to the Nylon team. Everyone can use it. It is not the same as Request access, which emails your own firm's admins.

  1. Click + Request integration.

  2. Enter the app or tool name, for example Xero or Dropbox. This is required.

  3. Tell us what you would use it for if you like. One sentence is plenty.

  4. Click Send request.

Requesting an integration changes nothing on your account.

Access, data storage and permissions

Access

Integrations use delegated OAuth, per user. There is no shared service account. Nylon only sees the files, emails and calendar events the signed-in person can already reach. Read and write stay separate at the feature level. On SharePoint, only Save back to SharePoint asks to create or update files, and turning it off removes that.

Data storage

Nylon keeps no mirror, index or cache of your SharePoint or your mailbox. Content leaves Microsoft only when someone picks a specific file or email to bring into a conversation. Nylon then stores it short-term under our standard data-handling policies. Nothing syncs in the background and nothing gets copied in bulk.

Permissions and user isolation

Everyone links their own Microsoft account, and Nylon uses that person's own token for every request. You cannot see a colleague's files or emails through Nylon. Nylon respects the same boundaries Microsoft does. Owners and Admins control which integrations run and which features are on. Nylon encrypts every token at rest.

How to manage your integration

Frequently asked questions

Q: Do I get different integrations on different plans?

A: No. Every plan includes the same integrations. The notetaker needs Pro Credits, which come with Adviser and Elite.

Q: Do I need to be a Microsoft administrator to use an integration?

A: No. A Microsoft administrator only handles the one-off organisation approval. After that everyone links an ordinary Microsoft account.

Q: An outside IT provider runs our Microsoft and has no Nylon account. Can we still connect?

A: Yes. Read If IT or an outside provider runs your Microsoft above. They can approve Nylon without signing into it.

Q: My colleagues get asked for an approval they cannot give. What went wrong?

A: Whoever set the integration up almost certainly missed the "Consent on behalf of your organisation" tick-box. Ask an Admin or Owner to open Manage integration and click Re-consent. Disconnecting and setting up again will not fix it.

Q: Our admin turned on a new feature. Does everyone need to reconnect?

A: No. New features reach everyone on their own. Nobody links again.

Q: If I disconnect, does Nylon delete my data?

A: Disconnecting clears the stored connection and stops further access. Documents and emails already in a conversation stay there and follow your normal data-retention settings.

Q: Does disconnecting in Nylon remove our approval at Microsoft?

A: No. Nylon clears what it holds. Your Microsoft administrator removes the organisation's approval in Microsoft.

Q: Integrations used to sit in Organisation Settings. Where did they go?

A: They have their own Integrations section under Account now, so team members can manage their own connections. Organisation Settings keeps everything else.

"Approval required" in the Microsoft window

Microsoft shows this when the access Nylon asks for needs an administrator's approval and the person signed in cannot give it. It means one of two things.

  • You saw it during Set up. You are a Nylon Admin, not a Microsoft administrator. Read If IT or an outside provider runs your Microsoft above.

  • You saw it while linking your own account. Your firm's approval is missing or incomplete, usually because someone missed the tick-box at setup. You cannot fix this yourself. Ask a Nylon Admin to use Re-consent.

Either way Nylon records nothing and nothing changes. Once someone fixes the cause, trying again works.

Microsoft's "approval required" screen has nothing to do with Nylon's Request access button. They share some words and nothing else.

The sign-in window did not appear

Some browsers block pop-ups. Allow pop-ups for app.usenylon.com and try again.

A feature is on but it does not work for me

Check with a Nylon Admin that your organisation's approval is in place. If it is, open View integration, click Disconnect, then Link Account. That refreshes your connection and affects nobody else.

The card still shows Set up after our Microsoft admin approved it

Microsoft does not tell Nylon when your administrator approves Nylon on their side, so the page will not update by itself. Click Set up once more. The attempt is the check, and it now finishes quietly.
